Mailing lists and their use are focused in the manual.
To define a new mailing list, go to Mailing Lists and use the button:
The General tab provides the following options:
Define a name for the new mailing list. It is important to bear in mind that this name will be used as a part of the mailing list's email address. If the mailing list for company's social events is called for example events, the address will be: events@company.com.
This is an optional entry. It is useful especially if you (intend to) create many mailing lists. Good description serves for better reference.
Selection of a language that will be used for displaying reports related to the mailing list.
The Comment tab includes two entries: This text will be automatically sent to new members and This text will be automatically appended to each email. Both entries are optional.
The welcome message is not sent unless the new member subscribed by email. Members added to the mailing list through the Kerio Administration Console will not receive the welcome message.
On the Subscription tab, you can allow new members to subscribe to the list by sending an email to a special address. The menu provides the following options to select from:
Allowed — user that has sent an email to the mailing list subscription address will be subscribed automatically.
Moderator must approve — subscription requests are forwarded to the moderator(s) of the mailing list. The subscription must be confirmed by a moderator first.
Denied — subscription via email is not available.
If this option is checked, the user gets a message informing that their request was forwarded to the mailing list moderator(s). The user does not get the message unless their request is accepted or rejected.
If this option is enabled, moderators will be informed about each user subscription/unsubscription.
If the administrator adds or removes a user to/from mailing list(s) in the Kerio Administration Console, the moderator will not be informed.
On the Posting tab, you can set a posting method for the mailing list.
Allowed — messages sent to the mailing list will be delivered to all members immediately.
Moderator must approve — messages are forwarded to moderators for confirmation. Members of the mailing list(s) will not receive the messages unless they are confirmed.
Denied — posts to the mailing list will not be accepted.
Allowed — see above
Moderator must approve — see above
Use rules for members/non-members — this option assigns the moderator rules for members/non-members (according to the fact whether the moderator is a member of the mailing list or not).
If this option is checked, the user gets a message informing that their request was forwarded to the mailing list moderator(s). The user does not get the message unless their request is accepted or rejected.
If this option is enabled, all error reports related to the mailing list will be delivered to moderators. Otherwise, only the sender of the email message will receive the error report.
Sender — the address of the original sender will be kept in the header.
This list — the address of the original sender will be substituted by the list address.
Other addresses — the address of the original sender will be substituted by a user defined email address.
Sender + this list — replies will be sent to both the sender and the mailing list address
Prefix that will be added to subjects of each message sent to this list. When a new list is opened, its name inserted in square brackets is entered to this item automatically. This entry can be modified as needed.
The sender's address (the From item ) will be substituted for the list address in each email sent to the list. If the sender does not enter his/her name, the messages will be anonymous.
If this option is enabled, the This list or Other address must be set in the Reply-To item.
If this option is disabled, only messages with a non-blank Subject are accepted.
Mailing list(s) moderator(s) can be either selected from the domain users or added manually by specification of their email address on the Moderators.
To add moderators from your domain, the simplest way is to click on and select a user in the list.
To add a moderator who has not an account in your domain, click on the arrow on the button in the menu (on the right side of the button) and select . Now, enter user's email address. The Full Name entry is optional. Maximal number of moderators for one mailing list is 10.
To remove a moderator from the mailing list, click the button.
To add or remove members to/from a mailing list, follows the same procedure as for moderators. If there is a CSV file with a user list available, you can import members by using the Import from CSV file option. For details on how to create a CSV file with user accounts, refer to the manual.
Mailing list posts can be archived. For this purpose, use the Maintain archive of this mailing list option on the Archive tab. To set access to the archive, follow these guidelines:
The archive of this mailing list can be read by any user of this server — this option grants all Kerio Connect users read rights for this archive.
Allow these authenticated users to read this archive — users specified in this list will be granted read rights for this archive.
If an anonymous access is allowed for the NNTP service, any user can read the archive (even if they have no account in Kerio Connect).
